Most small contractors don’t lose money on the bid. They lose it quietly, mid-job — a labor overrun here, a material price bump there, a change order nobody documented — and find out at the end, when the margin is already gone. Job costing exists to stop that. Knowify is built around exactly that: tracking what a job was supposed to cost against what it’s actually costing, while there’s still time to act. If you want the same bid-versus-actual check without new software, our free job profit scorecard runs it on a single job — and the markup vs margin calculator shows the true margin inside the price before it goes out.

What Knowify Is

Knowify is job costing and project management software aimed at small contractors and subcontractors — real shops with a small office, not enterprise GCs with an IT department. Its center of gravity is the job budget: set it up, track labor, materials, and subcontractor costs against it as the job runs, and manage contracts, change orders, and invoicing in the same place.

The other half of its identity is the connection to QuickBooks Online. Knowify is designed to sit alongside QuickBooks, not replace it: job-level detail lives in Knowify, accounting records sync to QuickBooks. That division of labor is the whole pitch — and whether it fits your office decides this review.

Where Knowify Is Strong

Budget vs. actual is the home screen, not a report

In a lot of software, job costing is a report you run at month-end — you learn about an overrun weeks after you could have fixed it. In Knowify, budget vs. actual is the core of the job itself. Costs track against budget categories as they’re entered, so a PM can open a job mid-stream and see what’s tracking hot instead of waiting for the books to close.

That difference changes behavior. Fifteen minutes a week — coffee in hand, open every active job, scan budget vs. actual — catches drift while it’s still a conversation with the crew, not a write-off. The software can’t have that discipline for you — but it puts the right number in front of you, no spreadsheet required.

QuickBooks Online sync that respects the division of labor

Knowify syncs with QuickBooks Online so the office isn’t entering the same invoice, bill, or payment twice. Job costing detail — the budget categories and cost breakdowns accounting software handles clumsily — stays in Knowify, while QuickBooks remains the system of record for the books.

For shops already on QuickBooks Online, this is the strongest reason to look at Knowify first. You’re not ripping out your accounting or retraining your bookkeeper — you’re adding the job-cost layer QuickBooks doesn’t give you cleanly on its own. If your bookkeeper is happy and your PMs are blind, that’s the right shape of fix.

Contracts, change orders, and progress billing in one place

Knowify handles the paperwork chain around a job: the contract, the change orders against it, and invoicing — including progress billing in stages as work completes. The undocumented change order is one of the oldest margin leaks in contracting, and a system that makes it part of the job record — not a sticky note or a text thread — closes a real hole.

Sized for a small shop

Knowify is not Procore and not Sage, and doesn’t try to be. For a small office, the narrower scope is a genuine advantage: fewer modules, less to configure, less training before it pays off.

Where Knowify Falls Short

It’s not your accounting system — and not a CRM either

The QuickBooks partnership cuts both ways. Knowify doesn’t replace accounting; if you’re not on QuickBooks Online, verify your exact setup works before committing — the fit gets shakier fast. And it’s a job and money tool, not a sales pipeline: lead tracking, estimate follow-up sequences, and review generation are not what it does. If your problem is leads going cold, Knowify is the wrong purchase — that leak is upstream of everything it touches.

The field side is not its strength

Knowify includes time tracking for crew hours feeding job costs, but it is not a field-first platform. Dedicated daily-log, photo, and plan-based field tools go deeper. If your biggest pain is on site — documentation, inspections, punch — you’ll still want a field tool alongside it: another subscription, another login for the crew.

Setup discipline decides everything

Job costing software is only as honest as its setup. If your budget categories don’t match how you estimate, or time and receipts get entered late and sloppily, Knowify will faithfully show you wrong numbers. Expect real setup work: categories aligned to your bids, a rule for when time and bills get entered, one person who owns it. Shops that skip that work tend to blame the software at month three.

Reporting has a ceiling

The built-in views cover the day-to-day questions — where is this job, what’s it made so far, what’s outstanding. Grow into needing deep custom reporting across dozens of jobs, or the construction accounting a larger GC’s controller expects, and you may outgrow it. Not a flaw at this size — just a boundary worth knowing up front.

What About Price?

Knowify is a subscription, and plans and prices change — check current pricing on Knowify’s site, and confirm what’s included at each tier, before you budget. The honest math isn’t the fee anyway: it’s one job per quarter whose overrun you catch early enough to matter. Catch that and it pays for itself. Costs in late and nobody reading the budget view? No price makes it cheap.

Who Should Buy It, Who Should Skip It

Good fit: a small contractor or subcontractor on QuickBooks Online whose jobs finish with less margin than the bid promised — and who can’t say why until weeks later. If “are we making money on this job, right now?” takes you more than five minutes to answer today, Knowify is aimed squarely at you.

Skip it if you’re not on QuickBooks Online and don’t plan to be, if your real problem is sales and follow-up rather than job costs, or if you need heavy field management first. Skip it, too, if nobody will own the setup and the weekly budget-vs-actual habit — you’d be buying a subscription that shows you the same surprises you get now, on a nicer screen.

The Bottom Line

Knowify does one important thing well: it makes job profitability visible while the job is still running, for shops on QuickBooks Online. It isn’t a CRM, it isn’t accounting, and it won’t fix sloppy cost entry. But for the contractor whose margins leak quietly mid-job, “budget vs. actual, live, in five minutes” is the most useful screen in the office. Worth a trial: set up one real job, run it two weeks alongside your current process, and let that decide.

Not Sure Where Your Margin Is Leaking?

AltaPoint Development helps contractors in Long Beach and across Greater LA find where the money quietly goes — job costing you can’t read until it’s too late, estimates never followed up, invoices that sit unsent — and fix the systems behind it. If “which jobs made money this month?” needs a spreadsheet and a prayer, that’s the first conversation.
