Buildertrend API Guide for Builders and Remodelers

One-line verdict: There is no API to review — Buildertrend is closed, and the honest move is to design around it instead of pretending otherwise. Openness: 1 / 5 — rated 1 because no public API, developer portal, webhooks, or Zapier/Make app was found in the vendor’s official sources.

The connection that works

Rungs 4–5 only — Scheduled sync and our-side-only. Most pages in this directory describe a door. This page describes a wall with a mailbox. Buildertrend does not offer a public API for outside systems to read or update your data directly, and it does not send webhooks — instant alerts when a job, lead, or document changes.

What does exist is a short list of curated, vendor-chosen integrations: QuickBooks, Sage Intacct, Xero, HubSpot, Salesforce, and Pipedrive. If one of those is already the other half of your business — your books, your CRM — that built-in connection may cover that one handoff. It is not a general door other tools can use.

So a realistic automation setup for a Buildertrend shop works like this. Data comes out on a schedule: exports and reports, picked up and processed at set times — fine for compliance paperwork and back-office reporting, which move daily rather than by the minute. Leads come in through Buildertrend’s own lead form, which can route into an email or webhook on our side, so a new inquiry still gets a fast response even though Buildertrend itself never “tells” us about it directly.

Anything live — missed-call capture, instant lead response, review requests — runs on our own calling and texting tools, with Buildertrend untouched except for what a person on your team pastes or uploads back. That floor works. It is just not a live sync, and it should never be sold as one.

Can automate

Can’t automate

Hidden gate: The hidden gate here is that there is no gate to unlock — no upgrade, licence, or admin setting opens an API, because there is no public API. The real risk is a quote that assumes one exists and quietly delivers manual work at automation prices. If a proposal for a Buildertrend shop does not name scheduled exports and a comms-layer design, ask what it is actually built on.

Build fit — what this platform supports

What this means for your shop

Buildertrend can still be the right system to run your builds on — this score judges connection, not construction features. It means your automation strategy is “sync and surround”: scheduled exports for the back office, and a separate, fast comms layer for leads, calls, and reviews. Budget and timelines should be written for that reality from day one.
