The Missed-Call Rescue Kit
For contractors who can’t answer on the tools.
You’re on a roof, under a sink, or mid-pour. The phone rings in your pocket. By the time you’re back in the truck, that caller has already dialed the next name on Google. This kit fixes the cheapest leak in your business: the call nobody answers — and nobody follows up.
1. The 60-Second Self-Check
Answer honestly. Count your NOs.
- When you miss a call, does the caller get a text within 60 seconds — automatically, without you touching your phone?
- If a call comes in at 8pm or on a Sunday, does the caller hear from you before the next business day?
- If a caller doesn’t reply to your first text, does a second nudge go out on its own?
- Can a caller book a time with you from that text thread — no phone tag?
- Does every missed call end up written down somewhere (a list, a CRM, anything) — or does it live and die in your call log?
Scoring: 0 NOs — you’re covered; this kit is a tune-up. 1–2 NOs — you’re leaking jobs you already earned the call for. 3+ NOs — the phone is your most expensive employee, and it’s not showing up.
2. The Two Texts — Copy These Exactly
Text 1 — send within 60 seconds of the missed call:
Why it works: it apologizes, it asks the one question that starts the job, and it makes a callback promise with a time on it — so the caller waits for you instead of dialing the next listing.
Text 2 — send if there’s no reply within 2 hours:
Why it works: most people don’t ignore you — they got busy. One short nudge with a one-word reply and a booking option recovers jobs a voicemail never will.
3. The 10-Minute Manual Setup
You can run the basic version of this yourself, tonight, free. Generic steps — menus vary by app, but the shape is the same:
- Find your auto-reply setting (2 min). Open the app your business number lives in (your carrier app, Google Voice, or your business phone app) and look under Settings → Messaging, Calling, or Automations for “missed call auto-reply” / “auto-text.” Most business phone apps have one built in.
- Turn it on for missed calls only (2 min). You want it to fire when a call goes unanswered — not on every call. Set the trigger to missed call, delay immediate.
- Paste Text 1 (2 min). Fill in your business name and your real callback window. Use a window you can actually hit — a promise you keep beats a fast one you don’t.
- Set the follow-up (2 min). If the app supports a delayed second message, paste Text 2 at +2 hours, set to cancel if the caller replies. If it only supports one message, Text 1 is the one that matters.
- Test it (2 min). Call your business number from a personal phone. Don’t answer. Time the text. Read it like a homeowner would. Fix anything that sounds like a robot wrote it.
On an iPhone with no business phone app: iOS Focus modes (Settings → Focus → Driving, or a custom “On a Job” Focus) can send an automatic reply text while the Focus is on. It’s a blunt tool — it replies to calls you answer from your watch too — but it’s better than silence, and it’s free.
4. Where the Manual Version Breaks
The setup above handles the easy case: one missed call, one polite caller, business hours. Here’s where it stops working — no pitch, just the honest list:
- Judgment calls. A burst pipe at 11pm and a “just pricing things out” call at noon should not get the same response. An auto-text treats them identically. Somebody — or something — has to tell the difference and escalate the emergency.
- Real conversations. The moment the caller replies with details, photos, or a gate code, a script is done. The thread still needs a human-speed back-and-forth that ends in a booked job, not a dead chat.
- Dispatch and scheduling. The text can’t see your calendar, your crew, or your service area. Booking the wrong job at the wrong time is worse than a slow callback.
- The record. Manual setups don’t log anything. No record of who called, what they needed, or whether anyone followed up — so the leak stays invisible.
- Everything after the job. Review requests, estimate follow-ups, quote reminders — the missed-call text is one fix in a chain, and the rest of the chain is still on you, usually on Sunday night.
That’s the cliff: the manual version is a text. What actually books the job is a system — one that answers, qualifies, books, logs, and follows up while you’re on the tools.
Want It Running Without You Touching It?
That’s what we build at AltaPoint: the system that answers every call, texts back in seconds, holds the conversation, books the job, and logs it all — while you work.
